Within the framework of the Universeh Consortium Agreement, Data Controllers will process personal data of participants for registration forms and participation in events hosted by institutions involved in the UNIVERSEH work packages as:
- students from Universities that are members of Universeh;
- academic staff from Universities that are members of Universeh;
- administrative Staff;
- others.
In particular, the following data will be processed:
- personal data (name, surname);
- university of origin;
- institutional / University Email;
- university and other roles;
- photographs end recording.
- dietary preferences and restrictions;
- accessibility or mobility requirements.
The personal data is collected directly from the participant.
The personal data are collected and processed for the following purposes:
4.1) organisation, management and promotion of events carried out within the UNIVERSEH project;
4.2) management of event participation and related communications;
4.3) monitoring, analysis and reporting activities within the UNIVERSEH project in aggregated form;
4.4) sending information about future activities of the UNIVERSEH project;
4.5) taking photographs and recordings audio/video during the events for communication and dissemination purposes related to the UNIVERSEH project.
The lawfulness of processing is based on Article 6 paragraph letter e) of the GDPR (“performance of a task carried out in the public interest or in the exercise of official authority vested in the Joint Data Controllers”), with respect to purposes 4.1), 4.2) and 4.3).
For purpose 4.4) and 4.5) the lawfulness of processing is based on Article 6 paragraph 1) letter a) of the GDPR (consent of the data subject). Consent is obtained separately through this form for each purpose.
Dietary preferences and restrictions (including allergies or intolerances) and accessibility or mobility requirements may, where applicable, entail the processing of special categories of personal data pursuant to Article 9 of the GDPR, where such information reveals health-related data.
In such cases, the processing is based on Article 9 paragraph 1, letter a) of the GDPR (explicit consent of the data subject). Consent is obtained separately through this form for each purpose.
The data subject may withdraw their consent aforementioned at any time, without affecting the lawfulness of processing based on consent before its withdrawal.
To the extent which is necessary, personal data are communicated only to authorized Joint Data Controllers personnel (teaching staff, including researchers, employees and collaborators). The personal data for reporting purposes will be transferred in aggregated and anonymised form to European Union Institution.
Joint Controllers will keep the personal data of the data subjects for five years from the conclusion of the project.
The Data Subject will have the right to:
-ask each Joint Data Controller (by writing to the above-listed e-mail addresses), pursuant to Articles 15, 16, 17, 18, 19, 20 and 21 of the GDPR, for information and access to their personal data, as well as rectification or erasure of such data, and restriction of or objection to their processing.
Furthermore, for any questions or to exercise data subject rights, contact: universeh@uniroma2.it-pursuant to European Data Protection Board (“EDPB”) Guidelines n. 07/2020, lodge a complaint with each Joint Data Controller's supervisory authorities by writing to their e- mail address.
Provision of personal data is necessary for the purposes set out in point 4 of this Privacy Policy.
Personal data will be processed with both IT tools and any other type of suitable support, in compliance with appropriate security measures according to Article 5, paragraph 1, letter f, of the GDPR.
Personal data will not be transferred outside the European Union or the European Economic Area.
